Important Update: Changes in REDCap Login Procedure

 

On Wednesday, December 10, 2025, a change will take place in the login procedure for the REDCap application at UMCG.

From that date onward, two login buttons will appear on the REDCap login page: 'SURFconext' and 'Local REDCap login'. UMCG employees will log in to REDCap using the 'SURFconext' button. You will not need to enter login credentials, provided you are logged in to the browser with your UMCG-Microsoft school/work profile. The SURFconext connection automatically verifies your details with UMCG's identity provider. The first time you log in via SURFconext, you will be asked to review your personal and organizational details, which SURFconext retrieves from our identity provider. After you confirm, the login process is completed, and you will get access to your REDCap project page as usual. All existing project access rights, connections with other users, and REDCap-specific profile settings will remain unchanged. The advantage of this login method is that you use the same credentials as for other UMCG systems. Additionally, your access to REDCap UMCG will automatically expire when your employment ends and your organizational account is deactivated.

Project access, permissions, and roles are managed internally by IMO and not through SURFconext. This also applies to blocking user accounts after 3 months of inactivity. Changes to these settings must still be requested via imo-servicedesk@umcg.nl, preferably through the IMO Service Portal. New UMCG employees automatically have access to REDCap via SURFconext and can request a new project. Access to existing projects must be requested through the IMO self-service portal by the PI or research coordinator of the relevant department using the form 'Request access to a REDCap project'.

Access via SURFconext will gradually be extended to all external staff from institutions connected to SURFconext, and eventually to international institutions linked to SURFconext via eduGAIN. Our goal is to provide access to REDCap UMCG via SURFconext for staff from the University of Groningen (RUG) and sister UMCs early next year. Updates about the new login process and eligible user groups will be posted regularly on the REDCap home and login pages. We recommend checking the REDCap login page to see which UMCs are already connected.

All existing external users without SURFconext affiliation will continue to use the 'Local REDCap login' button for now.

For new external users, a UMCG employee can request access via the IMO Service Portal using the form 'Request a REDCap account'. Project access can be granted through a request by the PI or research coordinator using the form 'Request access to a REDCap project'.

Important Notice for research data collection: The Principal Investigator (in Dutch: Hoofdonderzoeker), is ultimately responsible for the research undertaken but may delegate the performance of research related sub-tasks to all other members of the research team.
