REDCap system change announcement on September 7, 2026 - activation of a record limit for projects in development mode.
 
D&D Onderzoek would like to announce the activation of a record limit for REDcap projects that are in Development status. It is planned for 7 September 2026
By introducing this limit, we aim to emphasize that the creation of records during the Development phase should be carefully managed and critically evaluated. The Development status is intended for developing and testing a study database using test data. With this record limit, D&D Research seeks to reduce the risk of unintentionally collecting live data during this testing phase. The limit will be set to five records by default. This can be extended on demand with reasons stated to 10 records.
 
Some development projects may already contain more than five records. These may consist entirely of test data, but they may also include live data. We are unable to verify this ourselves; only the responsible researchers can determine this. In any case, no existing records will be deleted when this limit is introduced. However, it will no longer be possible to create additional records. REDCap will display a clear warning about this in the Record Status Dashboard.
 
To remove the entire record limit, the project must be moved to Production status as soon as possible, either with or without retaining the data that has already been collected. A user with setup rights can initiate this process by clicking “Move Project to Production” in the Project Setup page. Cleaning up test data and live data can take place either before or after submitting the Move Project to Production request. However, when submitting the request, it must be clearly indicated that the data should be retained if live data has already been collected. If this is not explicitly specified, all data—which we must in principle regard as test data—will be permanently deleted.

Instructions for users from connected UMC's
Existing REDCap users from connected UMC's can log in using the SURFconext button. If you work at a connected UMC and are new to REDCap, and you need access to a project in REDCap UMCG, first log in via SURFconext. Your REDCap account will be created automatically upon your first login. Afterward, please inform the project's Principal Investigator (PI) at UMCG that you require access. The PI can then request access for you through the UMCG Research Self-Service Portal (umcg.topdesk.net). For questions or assistance with REDCap login, please contact the IMO Service Desk at imo-servicedesk@umcg.nl.

The specific delegation of research related responsibilities and authorizations must be recorded in a delegation log. The log must be archived in the research file.
